eCopy Announces Customer Best Practices Award Winners for 2008

eCopy Paper Connection Forum, Boston, Mass., October 7, 2008 - eCopy, Inc., a provider of document imaging solutions that integrate paper documents into business software applications, today announced the winners of the third annual eCopy Best Practices awards. The award winners demonstrated innovation in document scanning that has resulted in increased communication, collaboration and operational efficiency.

The winners were selected from organizations worldwide that have deployed eCopy document imaging software in core business processes based on the software’s ease of use, accessibility and consistent interface across networked multifunction peripherals (MFP) and scanners. They were recognized at the eCopy Paper Connection Forum, an industry conference for office equipment dealers, MFP manufacturers, independent software vendors, system integrators, value added resellers, distributors and industry experts to collaborate on the advancement of document imaging capabilities and strategies for integrating paper-based information with business applications and other electronic workflows.

The winners of the 2008 Best Practices Awards are:

Chesapeake Energy Corporation – Best Application Integration

Chesapeake Energy has more than 200 eCopy ShareScan systems installed throughout the company. The company has developed custom eCopy Connectors to OpenText LiveLink ECM and Oracle’s PeopleSoft by utilizing the eCopy ShareScan Software Development Kit (SDK). An eCopy Connector links expense receipt scanning directly to the expense reporting application, managing more than 1,000 reports per month. The investor relations department utilizes the eCopy Connector for Microsoft SharePoint to scan press articles into a document library maintained in Microsoft SharePoint.

Forestry Commission GB – Best Business Process Improvement

The Forestry Commission of Great Britain turned to eCopy as a way to leverage its fleet of MFPs to eliminate manual processes associated with scanning of financial and other documents. The Forestry Commission is rolling out eCopy ShareScan on what will ultimately be around 100 MFPs across the organization and has developed two custom buttons on the eCopy user interface that enable users to quickly scan-to-email and scan-to-shared directories. A custom eCopy Connector was developed by eCopy Professional Services to handle purchase invoices and complete the integration between the Oracle-based eFinancials accounting package and the Serengeti eIntranet document management system, with the MFP as the integration point.

Extendicare – Best Productivity Improvement

After using eCopy’s basic scan-to-folder and scan-to-email capabilities for several years, Extendicare Health Services determined that integration of eCopy with its Oracle business applications was the most efficient and cost-effective approach to integrate paper into its electronic workflows. Extendicare created a custom eCopy Quick Connect button in eCopy ShareScan to store scanned items directly to an FTP location on the Oracle server, which enables fast storage, indexing, search and retrieval of invoices. Extendicare is also using the eCopy solution across the enterprise for the benefit of many other departments, including Customer Service, Facilities Management, Human Resources, Sales, Marketing, and IT. Extendicare estimates its eCopy solution saves the company more than $143,000 annually, with the potential for another $41,000 a year in the Reimbursement department alone.

Klarquist Sparkman, LLP – Best eCopy ShareScan Implementation

Klarquist Sparkman uses eCopy ShareScan to improve efficiency, reduce paper and storage, and maintain a single copy of documents for access by all stakeholders. Employees scan directly into the firm’s ProLaw case management system and tag it with the appropriate metadata at the time of scanning using the eCopy Connector to ProLaw. This has eliminated the manual process of opening individual scanned documents from the desktop and tagging them with ProLaw metadata.

SSAB North American Division – Best eCopy Desktop Implementation

SSAB North American Division has implemented eCopy software at eight facilities across 12 functional areas to capture both line-of-business, structured documents and unstructured documents. This resulted in improved cross-departmental and cross-facility collaboration. SSAB has deployed more than 1000 eCopy Desktop licenses, utilizing the software tools to combine scanned documents with electronic documents, such as Web pages, and Microsoft Word and Excel files, into a single PDF document ready to be modified, shared or stored. SSAB also archives scanned documents directly from eCopy Desktop to the company’s document management repository.

Reynolds Porter Chamberlain LLP – Best Identity Services Integration

Reynolds Porter Chamberlain worked with eCopy, its office equipment dealer and Copitrak to develop a single sign-on service that eliminated the need for identity authentication each time a new application is used during a session at the MFP. With the single sign-on solution, users have immediate access to scanning, copying, printing, faxing and cost recovery services. This reduces the time it takes to authenticate at the MFP from as much as 90 seconds to about five seconds. The integration between Copitrak and eCopy ensures that all transactions are automatically tracked by Copitrak for cost recovery purposes. Through the eCopy Connector for Captaris RightFax, the firm also migrated faxing to eCopy-enabled MFPs, eliminating two-thirds of its fax lines and all of its fax machines. Overall, the company estimates an 80 percent improvement in productivity for these functions and a 5 percent reduction in annual document costs.
