Implementing document management strategies is becoming a popular option in offices all around the country as a means to better manage the growing volumes of information. While this is a popular option, making the transition to a completely paperless office is not completely feasible in this day and age. There are a number of things that can go wrong with your physical document storage system that don’t protect your files in the way digital storage does.

Catastrophe

If there is catastrophic damage, either from natural disaster or otherwise to your office, your physical documents could likely be lost or damaged. Saving digital documents in the cloud protects them from disaster. It is best to keep digital backups of all your files, including physically stored documents and an archive of your email.

SAN FRANCISCO - October 4, 2011 – Canon Information and Imaging Solutions, Inc., a wholly-owned subsidiary of Canon U.S.A., Inc., today announced the planned introduction of a new Enterprise Application and Imaging Integration platform* based on a Service-Oriented Architecture (SOA) designed to allow organizations to streamline business workflows and improve office productivity. Combining Canon's renowned imaging expertise and Oracle's leading-edge Service Oriented Architecture (SOA) technologies, the new middleware application will allow businesses to connect Enterprise Resource Program (ERP), Customer Relationship Management (CRM) and Enterprise Content Management (ECM) applications in order to help improve their business processes. In addition, the SOA-based imaging platform will offer an additional level of functionality versus traditional Enterprise Application Integration (EAI) middleware by connecting document-related processes to the overall business process workflow.

Océ North America, Document Printing Systems to sell Managed Print Services to the federal government

TRUMBULL, CONN. October 3, 2011 – Océ, a Canon Group Company and, an international leader in digital document management, today announced that Managed Print Services (MPS) has been added to Océ’s GSA Schedule 36 Contract, allowing Océ North America, Document Printing Systems to sell MPS to the federal government.

MPS focuses on the proactive management of existing fleets of print devices as well as devices that are added in the future. It can support a wide range of single-function printers, multifunctional devices and stand-alone fax machines, including both laser and non-laser devices from a variety of manufacturers. The program enables single-point accountability and streamlining of printer supply and service vendors.

To support continuous improvement in federal agencies, Océ will provide quarterly reviews and print lifecycle analysis, which includes reports on usage, trends, service detail and overall uptime. A focus on sustainability and environmental initiatives is supported by a closed-loop recycling process, energy consumption analysis and plans for decommissioning end-of-life devices.

Canon Brings Its Fastest A4 MFPs to Market

Earlier this month Canon introduced the imageRUNNER 1700 series, a move that represents the manufacturer’s initial venture into the high-end A4 MFP space. While Canon’s current imageRUNNER 1025 family satisfies the office needs of smaller environments, these six new devices include a major subset of A3 functionality in an A4 footprint, be it on the desktop or as a console, to fulfill business demands in larger settings—even enterprises. First presented in prototype form at the Canon EXPO in New York City in September 2010, the imageRUNNER 1700 series will be a boon to dealers, too, as they look to secure more MPS contracts. Said Brad Arrington, manager of product marketing for Canon U.S.A.’s Imaging Systems Group, “We carefully watch and study customer trends, one of which is the rising interest in monochrome A4-class MFPs. Canon listens to our customers and sales channels, and factoring in the increasing importance and growth opportunity of MPS, we believe now is the right time to introduce this new product to strongly address the market need.”

The manufacturer’s strategy surrounding the family encompasses several planks. “We aim to provide a low total cost of ownership for our A3 systems, and that same value proposition is clearly at the forefront of our A4 messaging—excellent acquisition cost for the features they provide and favorable operating costs,” he said. “Our design approach to improve maintenance, by using separate toner and drum components instead of a print cartridge, and having a long-life drum, also contributes to a lower TCO. The devices are compact: They’re ideal for verticals such as healthcare and legal, where space matters, but we think they can fit into any market, horizontal or vertical. And the series is easy to use and manage, delivers the kind of image quality and features that people expect from Canon, and helps us make our portfolio that much more complete.” On the footprint front, BLI’s database shows that, indeed, the devices are among the smallest in this class.

Designed in collaboration with FedEx Office^®, Sims Recycling Solutions and Close the Loop, this program utilizes the best environmental practices in treatment of recyclable materials.

Survey: How Companies are Tapping Document Management Best Practices to Reach their Top Business Goals

New York, N.Y. (September 26, 2011) – A majority of executives reported that their organization's top business goal for this year is to reduce costs, closely followed by increase revenue and improve operational performance. The executives also assert that, because it positively impacts their organization's ability to meet these goals, document process management is a priority. Spending for document management activities is expected to increase or remain level during the next 12 months.

These are a few of the important findings highlighted in a comprehensive survey report issued today by Océ Business Services, a leader in document process management services and technology. "The Goal Standard: How Companies Leverage Document Management to Help Meet their Top Business Goals" examines how organizations are leveraging document management processes including mail, records and print/copy center management, managed print services (MPS) and document imaging to help meet their key objectives this year and through 2012.

One trend uncovered is that more than a third of the organizations surveyed outsource some or all of the document management activities included in the report. According to respondents, the strongest area for outsourcing is mail/shipping management (45%), followed by MPS (40%), document imaging (37%), records management (35%) and print/copy center management (35%).
